Export declarant: Respond to Customs’ additional information request correctly

The new import declarations were introduced in the Customs Clearance System in autumn 2024. After their introduction, Customs’ additional information requests are to be responded to either via message exchange with an additional information response (FI553) or in the Customs Clearance Service under “Messages”.

Respond with the correct message or via the Customs Clearance Service

Documents requested by Customs cannot be sent as email attachments. Instead, they must be uploaded to Customs’ system.

Examples of errors made when responding to additional information requests:

  • The export declarant uploads the attachments to Customs’ system, but does not respond to the additional information request using the message FI553 or in the Customs Clearance Service under “Messages”.
    • Because no response is sent, Customs is not notified of the uploaded attachments.
  • The export declarant uploads the attachments to Customs’ system, but responds to the additional information request using the message free-form contact (FI539).
    • The free-form contact does not connect the response to the correct additional information request, so Customs is not notified that a response has arrived.

If an additional information request is not responded to correctly, Customs will not be notified of the response. This will slow down the processing of the export declaration. By responding to an additional information request carefully you can speed up the processing of your export declaration.
