“My details” service opened for businesses – check the service for the trader office identifier required in new customs declarations

A “My details” service has been opened for businesses registered as customers of Finnish Customs. In the service, you can currently check the following data on the company’s location: name, address and the trader office identifier. The service will be extended later. The following addition to the service will be the possibility to check the status of the company’s reserved guarantee for imports.

The trader office identifier replaces the T extension in the customs declarations

It is very important now for the importer company to find out their trader office identifiers in the service “My details”, before the new import declarations are introduced. The identifier in the new import declarations replaces the current specifying detail, the extension beginning with T. 

When the EORI and trader office identifiers are entered in customs declarations in the new customs clearance system, the name and address details on the decisions are generated based on these. Representatives must always enter their trader office identifier. 

The trader office identifier must be found in the declaration if the company wants Customs to send the consolidated invoices, i.e., periodic filings, of import declarations to a certain office location. If neither the importer’s trader office identifier nor the e-invoicing address is provided, Customs sends the consolidated invoice to the head office address registered in the Finnish Business Information System (BIS). Customs only sends periodic filings to importers who have reserved a guarantee with Customs and therefore have a customs authorisation for payment deferment. 

The trader office identifier is already in use for customs warehousing declarations and will be introduced later for export, import and transit as well as for entry and exit declarations. In these declarations, the T extension is still used as specifying details of the company’s place of business.

Importer: disclose the identifiers to the representative, who makes declarations on your behalf

The importer must also declare their trader office identifier to the representative who makes the declarations, if the importer wishes to have a certain office address shown in the clearance decisions.

The importer company cannot at this stage mandate a representative to use the “My details” service to check the trader office identifier of the company they represent. 

How to receive a trader office identifier

The trader office identifiers are information in Customs’ customer register of trader offices, which authorisation holders or registered customers have disclosed to Customs. Customs has only created trader office identifiers for companies who have been granted an authorisation or been registered by Finnish Customs. 

If your company details are not in Customs’ customer register, then your company does not have a trader office identifier, which means that you cannot log into the “My details” service. Your company will receive a trader office identifier when you apply for an EORI number from Customs. The EORI is used as importer identification in the new import declarations. 

Suomi.fi identifications are used when logging into the service 

You log in to the “My details” service using Suomi.fi identifications and the mandate “Viewing of customs activity customer data”. If your company does not have these yet, you should apply for them as soon as possible. Read more about identification and authorisations

The company can request an update of their trader office details via the “My details” service with a freeform message, which is directed to the Customs Authorisation Centre for processing.
